'Special event' guest designations help large groups get in faster
Having family and friends over for a birthday party, anniversary, memorial service, holiday gathering or other special event? GRF Security can help make their arrival easier—and help keep traffic moving at the gates.
Leisure World already has a special events procedure designed specifically for resident gatherings. When Security is notified in advance, information about the event can be entered into the “special events” section of the gate access system.
Once the event is properly entered, gate officers can see that information when the guests arrive.
Guests simply need to let the officer know the name of the resident they are visiting and the event they are attending. This allows Security to process arriving guests much more effi ciently while still maintaining appropriate access control.
Why is advance notice important?
When Security does not know about a large gathering in advance, officers may have to individually verify guests who arrive without a regular guest pass. If several guests arrive at approximately the same time, this can result in longer waits and traffic backups at the gate.
A little advance planning can make a big difference.
Before large events, residents should:
• Notify Security in advance that you will be hosting a party, memorial service or other gathering with multiple guests.
• Provide the resident’s name, address, date of the event and approximate time of the gathering.
• Let Security know that you expect multiple visitors so the event can be properly entered into the special events system.
• Remind guests that, when they arrive at the gate, they will need to provide the resident’s name and the event they’re attending.
• Remind guests to follow the directions of the Security officer if they are asked to move their vehicles or temporarily pull aside. This helps keep the entrance lanes open for everyone.
